Case Study : American Packaging: Human Resources Secure Form Input and Approval

Brief

Client needed an automated process to secure form input and approval, according to their compliance needs. Becoming Machinic created a business process to automate form generation, and G Suite integration for client’s HR personnel action forms.

Problem

The client’s “Personnel Action Forms” required approval from distributed individuals who did not require and should not have access to the full form data. To ensure employee privacy, American Packaging needed to separate out secured elements from unsecured elements before presenting to approvers for sign-off. The form had to be available to HR staff and output to American Packaging’s HCM system.

Solution

An employee signs into their subdomain at machinic.io and creates a new Personnel Action Form work unit (PAF). Once complete, the employee signs off on the validated version of the form and submits to management for approval. Because the form contains secured and unsecured elements, the former are segregated from the latter.

They are then encrypted, and omitted from the presentation to approvers. Once all approvers have submitted their approval, the secured and unsecured elements are combined into a fillable PDF template and the finished PDF uploads to the HCM system. The employee then receives notifications with the final document reference.
