Brief

Client needed a system to approve capital expenditures. Becoming Machinic created a Quorum Approval system with iSeries Integration and document signing.

Problem

Client’s prior solution required executives to use their laptops to connect to various internal services using the VPN, and then jump through two or three different proprietary systems in order to view whether work needed approval, and then to approve it.

Solution

Becoming Machinic transformed this process into a mobile-ready, cloud-enabled system with email notifications that was directly integrated into their backend content management system, hosted on their IBM i midrange server in their intranet.

Process

A draft capital expenditure document is checked into an ECM system. A work unit is created on machinic.io with a copy of the document and metadata. The work unit goes through departmental, division, and corporate approval, staying at each level until a quorum of approvals is reached. Approvers see a simplified interface with the PDF embedded in the approval screen. Upon completing corporate approval, signature images are burned into the attached document and a new, cryptographically-signed PDF is generated and sent back to the ECM system as a new revision of the existing document.
